TWIC Freight Dispatcher/Customer Service Representative- Maritime Transportation

Job Title: Freight Dispatcher
Department: Freight Division
Reports To: Freight Manager
Supervises: Freight Drivers

Job Summary
The Freight Dispatcher is responsible for coordinating the timely pick-up and delivery of shipments within a fast-paced, 24/7 maritime transportation environment. This role manages incoming calls, emails, and customer inquiries; schedules and dispatches drivers; communicates job requirements; and ensures efficient resource allocation. The Freight Dispatcher serves as a key customer service representative, maintaining professionalism, accuracy, and strong communication while supporting the safe and efficient flow of freight operations.

Essential Duties & Responsibilities
Dispatching & Coordination
  • Triage and respond to incoming emails, calls, and customer inquiries promptly and professionally.
  • Coordinate the timely pick-up and delivery of shipments, ensuring jobs are assigned and scheduled appropriately.
  • Plan, schedule, and dispatch drivers and vehicles to meet dynamic job requirements.
  • Communicate job details clearly to drivers, supervisors, and customers.
  • Monitor driver locations, timelines, and job status; adjust schedules as conditions change.
  • Ensure safe and accurate execution of freight movements in compliance with company policies and maritime procedures.

Customer Service
  • Serve as a point of contact for customers, providing updates and resolving issues as they arise.
  • Deliver excellent customer service while maintaining a calm, courteous, and professional demeanor.
  • Work closely with customers to coordinate special requests, schedule changes, or service needs.
  • Represent Danner's values and uphold professionalism at all times.

Administrative & Operational Support
  • Maintain accurate notes and job documentation within dispatch systems.
  • Relay information quickly and accurately in a fast-paced environment.
  • Assist with resource management, ensuring efficient use of drivers and vehicles.
  • Support Freight Management with operational tasks and follow-through on assigned responsibilities.
  • Perform other duties as assigned.

Required Qualifications
  • To perform this job successfully, an individual must be able to complete all areas outlined for this position in a satisfactory manner. Reasonable accommodations may be made to enable individuals with disabilities to perform essential functions.
  • Minimum 2 years of dispatching experience in security, transportation, or logistics (maritime industry preferred).
  • Valid Texas Driver's License and TWIC Card required.
  • Must be at least 24 years old.
  • Strong typing and data entry skills with attention to detail.
  • Proficiency with Microsoft Office (Word, Excel, Outlook) and ability to learn new dispatching systems.
  • Proficiency writing, reading, and speaking English, including basic spelling, grammar, and punctuation.
  • Strong organizational skills; highly detail-oriented.
  • Excellent communication and customer service skills, both verbal and written.
  • Ability to work under pressure, remain calm, and solve problems quickly.
  • Must meet company requirements for background check, MVR, health screening, and drug test.
  • Knowledge of maritime industry terminology and logistics preferred.

Work Environment & Physical Requirements
  • Primarily office-based, with extended periods of sitting at a computer and phone.
  • Must be able to lift and carry up to 50 lbs. occasionally.
  • Occasionally drive company vehicles when needed (Night Dispatchers).
  • Fast-paced and time-sensitive maritime transportation operations.
  • Requires multitasking, high accuracy, and rapid communication.
  • Maintain average/good vision with or without corrective lenses. Must have sufficient vision, hearing, and speech for effective communication and clerical work.
  • Walking, climbing, bending, kneeling, and stooping as needed.
  • Flexible schedule required, including evenings, weekends, and holidays.
  • Requires manual dexterity for data entry and clerical tasks.
  • Workdays include early mornings, late evenings, nights, weekends, and holidays.
