Job Summary


We are seeking a Contract Administrator to join our collaborative team and manage contract lifecycle processes across all three entities. This role will oversee and manage contracts across all Allia Health entities. This individual will ensure that contracts are tracked, maintained, and compliant with internal and external requirements. Additionally, this role will serve as the central point of coordination for contract timelines, renewal clauses, termination terms, and vendor relationships.


The ideal candidate will be a highly organized, detail-driven professional with a demonstrated ability to thrive in dynamic, fast-paced environments. They will possess a strong commitment to operational excellence and continuous process improvement. This individual will be responsible not only for managing the end-to-end contract administration process but also for designing and implementing an efficient, scalable workflow that enhances contract visibility, accountability, and compliance across the organization.


Key Responsibilities

  • Maintain a centralized system for tracking all contracts across Allia Health, including all subsidiaries Brello, Southend Pharmacy and Woven, including effective dates, renewal timelines, termination clauses, and payment terms.
  • Serve as the point person for contract intake, review, routing, approvals, and execution.
  • Partner with internal departments (Legal, Compliance, Finance, Procurement, Operations) to ensure timely contract processing and renewals.
  • Input and maintain accurate data in the contract management system to support reporting, audits, and decision-making.
  • Monitor contract milestones, flag expirations or renewals, and proactively communicate deadlines to stakeholders.
  • Assist with developing and refining contract lifecycle workflows to support operational efficiency.
  • Participate in the implementation and integration of contract workflows in NetSuite to ensure end-to-end visibility and automation.
  • Support cross-entity contract standardization and compliance with regulatory and organizational policies.
  • Responsible for performing other duties as assigned and required to support departmental and organizational goals.


Required Qualifications

  • Bachelor's degree in business administration, Legal Studies, Healthcare Administration, or a related field.
  • Minimum of 3 years of experience in contract administration, procurement support, or legal operations.
  • Minimum 3 years of experience managing a high volume of complex contractual documents, timelines, and obligations across multiple business units with precision and consistency.
  • Experience in contract data governance, including accurate input, systematic tracking, and proactive lifecycle management within centralized contract management systems or enterprise repositories.
  • Superior organizational and cross-functional communication skills, with a track record of successfully collaborating with finance, legal, compliance, and operations teams to drive timely contract execution and alignment with organizational priorities.
  • Comprehensive knowledge of contract structures, legal terminology, and professional document formatting standards.
  • Proficiency in Microsoft Office Suite, including Excel and PowerPoint.
  • Experience utilizing ERP systems such as NetSuite, SAP, Oracle, or Microsoft Dynamics.


Preferred Qualifications

  • Prior experience in healthcare, pharmacy, or regulated industries.
  • Master's degree in business administration, Legal Studies, Healthcare Administration, or a related field.
  • Background as a legal assistant, or similar role supporting contract processing.
  • Hands-on experience with NetSuite implementation, specifically for contract administration workflows, data migration, and user adoption.
  • Familiarity with compliance requirements such as HIPAA, FDA, or state pharmacy board regulations.
