About Dua Health

Dua Health is a modern, culturally competent therapy group based in Texas, providing virtual mental health services for diverse communities. We are growing quickly and looking for a reliable, organized, and people-oriented Medical Scheduler and Outreach Coordinator to support patient scheduling and help expand our referral network.


About the Role

This is a hybrid role combining patient scheduling with referral outreach. You will be the first point of contact for prospective patients, helping them feel supported and cared for. In parallel, you will conduct outreach to primary care providers, OB/GYNs, school counselors, and psychiatry clinics to introduce Dua Health and help grow our patient base.


Right now, we're a baby practice and just opened our doors so our call volume is low (2 to 4 inquiries per day), so much of your day will be spent building our referral network. Over time, as patient volume increases, this role could transition into a full-time scheduling position. We'll work with you to make the role into something that excites you.


For the right person, this position can grow into a manager-level role overseeing our scheduling team and broader patient experience function. We also plan to offer full-time employee benefits, including health insurance and paid time off, as we scale (hopefully by early next year). Core Responsibilities

Patient Scheduling and Coordination

  • Respond to incoming calls, emails, and text messages from patients
  • Collect insurance and intake information
  • Schedule new and returning patients with the appropriate therapist
  • Follow up with no-shows and manage reschedules
  • Maintain accurate records using our electronic health record or scheduling software


Referral Outreach and Cold Calling

  • Make 20 to 30 outbound calls per day to clinics and potential referral partners
  • Introduce Dua Health using a provided script
  • Email branded information sheets and track follow-up steps
  • Maintain a daily activity log in Google Sheets
  • Build and nurture relationships with warm leads over time


Team Communication

  • Share updates and handoffs with the internal team via Slack
  • Collaborate with operations and marketing to improve referral workflows


Requirements

  • Prior experience in U.S. healthcare, particularly in medical scheduling or behavioral health
  • Strong phone presence that is professional, warm, and confident
  • Excellent written and verbal English with a neutral or light accent
  • Tech-savvy and proficient with Google Workspace (Gmail, Sheets, Docs)
  • Reliable internet and a quiet home working environment during U.S. business hours
  • Highly organized, detail-oriented, and dependable


Preferred Qualifications

  • Experience working with therapy practices or mental health clinics
  • Familiarity with electronic health records, customer relationship management tools, or tracking systems
  • Background in a call center or cold-calling role
  • Knowledge of insurance plans, benefits, and eligibility processes


Compensation and Growth

  • Full-time position, Monday through Friday, 10:00 AM to 5:00 PM CST
  • Compensation starts at $10/hour for the first 3 months, with planned increases every 3 months until reaching a competitive market rate based on performance and company growth.
