Description
Oversees front office operations of an executive suite within the Chancellor/President's Division to create an executive level first impression for staff, faculty, students and visitors.
Responsibilities
- Maintains a professional appearance of the executive suite with a focus on a positive first impression and providing excellent customer service.
- Replenishes supplies and materials to include but not limited to refreshments, paper and office supplies maintaining an adequate stock at all times.
- Receives and distributes incoming mail as well as prepares outgoing mail (envelopes, packing, etc.).
- Conducts property and space inventory for the office on an as needed basis.
- Greets visitors and answers a multiple-line telephone prioritizing and determining appropriate course of action, referral or response consistent with organizational policy.
- Prioritizes inquiries and requests and troubleshoots conflicts.
- Ensures discreet and superior customer service for high profile arrivals.
- Schedules meetings and maintains calendar/schedule for conference room(s).
- Creates a variety of documents, such as memoranda, letters, charts, newsletters, tables and other complex documents using word processing, spreadsheets, and desktop publishing software.
- Oversees the maintenance of manuals and computerized filing systems including updates needed.
- Partners with the Sr. Executive Assistant to always ensure effective coverage for the front desk.
- Coordinates the repair and replacement of equipment with Fix-It Services.
- Performs other job-related duties as assigned.
MQ:
Education: Requires a thorough understanding of both theoretical and practical aspects of an analytical, technical or professional discipline; or the basic knowledge of more than one professional discipline. Knowledge of the discipline is normally obtained through a formal, directly job-related 4 year degree from a college or university or an equivalent in-depth specialized training program that is directly related to the type of work being performed. Experience: Requires a minimum of one (1) year of directly job-related experience, preferred two (2) years.
- Department is willing to accept education in lieu of experience.
