Job Description
This role is critical in coordinating daily project operations, managing documentation, and facilitating communication between project stakeholders, subcontractors, and vendors.
Key Responsibilities
Project Coordination & Support
•Assist the Project Manager in planning, scheduling, and monitoring project milestones and deliverables.
•Support procurement activities, including preparing purchase orders, tracking materials, and coordinating with suppliers.
•Maintain accurate records of project correspondence, submittals, RFIs (Requests for Information), and change orders.
Documentation & Reporting
•Prepare and update project logs, meeting minutes, and progress reports.
•Ensure that all project documentation is properly filed and accessible.
•Assist in compiling reports for clients, management, and regulatory bodies as required.
On-Site Support
•Provide administrative and logistical support for daily site activities.
•Assist in coordinating subcontractors, site inspections, and quality control activities.
•Support safety documentation and compliance reporting.
Communication & Stakeholder Management
•Act as a point of contact for subcontractors, vendors, and internal teams.
•Facilitate smooth communication between field teams and office staff.
•Assist in preparing presentations and client-facing materials.
Qualifications
Education & Experience
•Bachelor's degree in Construction Management, Engineering, Business Administration, or related field preferred.
•1–3 years of experience in construction project support, administration, or coordination.
•Experience with industrial, commercial, or retail construction projects is a plus.
Skills & Competencies
•Strong organizational and time management skills with attention to detail.
•Proficiency in MS Office (Excel, Word, Outlook); experience with Procore or similar construction management software is a plus.
•Ability to manage multiple tasks in a fast-paced environment.
•Strong communication and interpersonal skills for working with diverse stakeholders.
•Basic knowledge of construction processes, terminology, and documentation.
Chinese/Mandarin speaking preferred.
